Futures Assistant
Location: Godalming, Surrey
Salary: circa £16,000 (Part time, term time only)
Our client's school is beautiful and a wonderful place to live and work. It was founded in 1611 and moved to its present magnificent 250-acre site near Godalming in Surrey in 1872. The Role
* Running the day-to-day administration of the Futures team, ensuring everything operates smoothly and efficiently.
* Acting as the first point of contact for pupils, parents, and other stakeholders-both in person and on the phone-with a warm, professional approach.
* Helping pupils book appointments with the team and managing the team calendar.
* Responding to transcript requests and assisting with their preparation and dispatch.
* Supporting data-related tasks, including compiling and maintaining spreadsheets of university offers and academic results.
* Assisting in the organisation of Futures-related careers and university events, such as FutureU full-day programmes for entire year groups, university fairs, networking sessions, and guest speaker visits.
* Responsible for producing high-quality PowerPoint presentations, social media posts and marketing documents for the Futures team and FutureU programme.
* Sending letters and messages using the school's database (iSAMS).
* Collaborating closely with the Sixth Form Heads of Year who share the same office space.
* Liaising with other administrative and teaching staff across the school to ensure joined-up communication and support when needed.
* Carrying out other ad hoc tasks that support the smooth running of the Futures department.
Skills and Qualifications
* Experience working in a busy office or school environment.
* Ability to manage a variety of administrative tasks independently.
* Confidence using a range of office equipment and systems.
* High standard of written English and attention to grammar and tone in emails and letters.
* Experience of working with different stakeholders (including pupils, parents and staff).
* Fast and accurate keyboard skills and excellent working knowledge of Microsoft Office, especially Excel and PowerPoint.
* Strong Canva skills, creativity and confidence in designing visually engaging presentations and marketing materials. Must also be confident using social media platforms particularly LinkedIn, as the team regularly posts useful information and resources.
* Awareness of data protection and confidentiality requirements.
* Excellent attention to detail and strong organisational skills.
* Ability to manage competing tasks and deadlines effectively.
* Highly professional, reliable and trustworthy.
* Discreet and able to handle confidential information at all times.
* Flexible, proactive and eager to learn.
* Able to use initiative to solve problems and work efficiently.
* Able to stay calm and accurate under pressure.
* Clear written and spoken English, with a friendly and professional telephone manner.
